LaunchPad
LaunchPad (https://launchpad.dunwoody.edu), made by Classlink, is your starting point to access all of Dunwoody’s systems. Your constituency (e.g., student, faculty, staff) determines which icons get displayed on your LaunchPad page. LaunchPad is accessible on and off-campus and from any device. There is a mobile application called Classlink available in the iOS App Store and the Google Play Store.
Workday
Workday is Dunwoody College of Technology's enterprise platform for Human Capital Management (HCM), Payroll, Benefits Administration, Finance, Expense Management, Organizational Management, and related business operations. Workday serves as the College's official and authoritative system of record for all data maintained within these functional areas.
Data contained within Workday constitutes the official institutional record and supersedes information maintained in departmental spreadsheets, local databases, shadow systems, or other unofficial repositories unless otherwise authorized by Human Resources or the Finance Department.
Workday is available to authorized employees through LaunchPad and may only be accessed in accordance with assigned job responsibilities and approved security permissions.
Authorized Use
Employees shall use Workday, as applicable to their job responsibilities, for the following business functions:
- Recording and submitting employee timecards and leave requests.
- Accessing payroll information, including pay statements, tax documents, and direct deposit information.
- Managing benefit enrollments and benefit-related changes.
- Submitting and tracking employee expense reports and reimbursement requests.
- Processing, approving, and reporting on financial transactions and budget-related activities.
- Maintaining employee and organizational information required to support College operations.
Employee Responsibilities
Employees are responsible for maintaining accurate and current information within Workday, including but not limited to:
- Personal contact information
- Emergency contact information
- Tax withholding elections
- Direct deposit information
- Other employment-related information assigned to the employee for maintenance
Employees shall promptly update Workday whenever changes occur to ensure the accuracy and integrity of institutional records.
Manager and Supervisor Responsibilities
Managers and supervisors are responsible for the timely review, approval, and management of transactions routed through Workday, including but not limited to timecards, expense reports, personnel actions, and workflow approvals. Failure to complete required approvals in a timely manner may impact payroll, financial processing, and institutional reporting.
Data Governance
Workday is the authoritative source of record for Human Resources, Payroll, Benefits, Finance, Expense Management, Organizational Structure, Position Management, and other designated business records maintained within the platform.
Where discrepancies exist between Workday and another institutional system, the information contained within Workday shall be considered the official College record unless otherwise approved by the responsible business owner.
Institutional applications, integrations, reports, and business processes that require employee, organizational, payroll, or financial data shall utilize Workday as the source system whenever technically feasible and operationally appropriate.
Security and Access
Access to Workday shall be governed by the College's Information Security Policy, role-based access control standards, and the principle of least privilege. Users shall only access information necessary to perform their assigned job responsibilities.
Unauthorized access, disclosure, modification, sharing, or misuse of Workday data is prohibited and may result in disciplinary action, up to and including termination of employment, as well as civil or criminal penalties where applicable.
Records Retention and Compliance
Records maintained within Workday are subject to applicable College records retention requirements, audit requirements, contractual obligations, and all applicable federal, state, and regulatory requirements.
Workday data shall be retained, protected, and disposed of in accordance with established institutional records management and data governance practices.
Support
Questions regarding Workday access, authentication, or technical support shall be directed to the IT Service Desk. Questions regarding Human Resources, Payroll, Benefits, Finance, or operational business processes within Workday shall be directed to the appropriate responsible department.
ServiceNow Ticketing System
The IT Department uses ServiceNow, available through LaunchPad, to manage and track incidents and service requests submitted to IT. The system tracks IT work orders, associated priority levels, and applicable service level expectations. IT also uses ServiceNow to document knowledge and share knowledge base articles with customers for self-service support and faster issue resolution.
ServiceNow is also used to track performance and report key indicators aligned to ITIL (Information Technology Infrastructure Library) and IT Service Management practices.
ServiceNow Knowledgebase is part of the IT Service Portal and can be accessed via Launchpad. It contains helpful articles to help with commonly encountered technical issues at Dunwoody. It is constantly updated, and new articles are added every week.
KnowBe4 Security Awareness Training
Faculty, staff, contractors, vendors, and business partners who use Dunwoody IT systems or have physical access to areas where sensitive data is stored are required to:
- Complete annual online Security Awareness Training and FERPA training every twelve (12) months. Newly hired employees must complete required training within the first 30 days of hire or before receiving access to Dunwoody IT systems and data, whichever comes first.
- Complete additional security awareness training when required due to changes in the IT environment, emerging threats, or compliance requirements.
- Review the Acceptable Use Policy and electronically sign the IT Acceptable Use Standards and User Acknowledgement Agreement before access to College computer technology is granted.
- Report suspected phishing emails or other security concerns using the KnowBe4 Phish Alert Button in Outlook or by contacting the IT Service Desk.
Canvas & My.Dunwoody
Dunwoody’s official learning management system (LMS) is Canvas, and you can access it through LaunchPad. Canvas is your primary classroom tool for your instructor to publish course curriculum and required electronic documents.
My.Dunwoody is an online portal of student information and resources. Available through LaunchPad, the portal provides links to check grades, schedule/registration, financial aid and account balance information, enrollment verifications to a variety of resources, opportunities, and notifications.
Students use My.Dunwoody to register for classes, pay their bill, and view information such as grades, attendance, academic plans, and unofficial transcripts.
Microsoft 365
Through our campus agreement with Microsoft, Dunwoody provides Microsoft 365 licenses for all students and employees, available through LaunchPad. This automatically updatable, subscription-based software ensures students and employees always have the latest version of Word, Excel, PowerPoint, OneNote, and more for as long as you are a student or employee, and the program continues. At no additional cost, benefits of the software include and are available to you through the Office 365 icon on Launchpad:
- Install on up to five compatible PCs and Macs, plus five tablets.
- 1TB of storage with OneDrive for automatic device syncing.
- Create, organize, and collaborate anytime, on your computer, tablet, or phone.
- Enjoy access to the latest versions of Office applications, features, and services.
- Use the same programs across all of your personal devices to ensure full file fidelity.
On-Campus Printing
Dunwoody provides a secure and convenient way to print called Dunwoody Pharos. This printing system allows you to use your ID badge to authenticate, to print devices and release jobs for printing. You will be able to print to any device that is available for general use, and at this time, there is no direct charge for printing.
IT is responsible for maintaining this system and monitors the printers for errors. Contact the IT Service Desk if you have problems retrieving print jobs. If a printer is malfunctioning, you should notify the IT Service Desk and use another printer on campus.
Staff.Dunwoody SharePoint Online
Dunwoody’s employee SharePoint site, Staff.Dunwoody, is where you will find information about the College and where you go to share documents. You can access it through Launchpad. Staff.Dunwoody assistance is available at the IT Service Desk.
SharePoint Online, available through Launchpad and Microsoft 365, is a cloud-based resource that can be used to setup sites to share documents, collaborate over a project, or share content across the organization.
Business Systems Reporting
Centralized reporting for key business systems is available in SharePoint through access granted by the Office of Institutional Research and Effectiveness. If you require data reporting, contact that office for one-time or ongoing reporting support.
The IT Department maintains IIS Reporting through LaunchPad for legacy reporting needs. Where possible, centralized reporting through the Office of Institutional Research and Effectiveness should be used as the primary reporting source.
